TranscribeX can notice when a meeting starts in Zoom, Teams, Slack, Discord, Webex or a browser, then either ask whether to record or start recording on its own. Recording detected meetings works on the free version, and the recording is transcribed with your default model. Speaker labels, the AI summary, auto export and email after the meeting are Pro (see meeting automation).
Note: TranscribeX doesn’t join the call or announce itself. Tell participants before you record, and follow the consent laws where you and they are.
Before you start
- Grant Screen & System Audio Recording so TranscribeX can capture the meeting app. See permissions.
- Grant Microphone if you want your own voice recorded (on by default in Settings › Recording › Use Mic When Recording a Meeting).
Turn on meeting detection
- Open Settings › Detection.
- Make sure the switch next to Detect When a Meeting Starts is on. It is on by default.
- In the list below, turn each app on or off, and choose Audio or Video for it.
Only installed apps appear. The built-in ones are:
- Zoom, Teams, Slack (huddles), Discord and Webex.
- Chrome and Safari, for Teams and Google Meet in the browser.
Audio records sound only. Video records the meeting window together with the sound, as an .mp4, and needs macOS 15 or later.
Add another meeting app
- Open the app you want to add, so it’s running.
- In Settings › Detection, click Refresh, then choose the app from the Select app menu.
- Click Add. Set Audio or Video for it, or click Remove to take it off the list.
Added apps also get a shortcut card on the Home page.
The Meeting Recorder popup
When a meeting starts and auto-start is off, a small popup says Meeting detected and asks Record … meeting? with the app’s name.
- Start: record this meeting.
- The arrow next to it opens a menu with Start Recording, Always auto-record (records now and turns on Auto-start Recording for Meetings for the future) and Ignore.
The popup closes by itself after about 15 seconds without recording. Hovering over it pauses the countdown. If the app is set to Video and Choose Window for Video Recording is on, the popup asks you to Choose the window to record first, then click Record (or Back).
When the meeting ends, TranscribeX stops the recording and saves it. The automation steps then run: transcription, speaker labels, summary, export and email, depending on your settings.
Detection settings
- Auto-start Recording for Meetings (off by default): skip the popup and start recording as soon as a meeting is detected. If Settings › General › Notifications is on, you get a notification when recording starts.
- Choose Window for Video Recording (off by default): when an app set to Video has several windows, pick which one to record before a manual recording starts. Off means TranscribeX picks the window. Auto-started recordings always pick automatically.
- Meeting Detection Delay (1 second by default; None to 10 seconds): how long a meeting must be running before the popup appears or recording starts. Raise it if short calls or sound checks trigger the popup.
- Minimum auto-detected recording length (10 seconds by default; None, 5, 10 or 30 seconds, 1, 2 or 5 minutes): recordings that end before this length are discarded. Only available with auto-start on.
Slack huddles in video mode
When Slack is set to Video, the settings show two warnings:
- When you start from the popup, click Start only after the huddle has actually started.
- With auto-start on, confirm Start Huddle in Slack within 5 seconds, otherwise the video may capture a small window.
Start a meeting recording by hand
You don’t need detection to record a meeting. Click the meeting app’s card on the Home page (Zoom, Teams, Slack, Discord, Webex or an app you added) while the meeting is running. If no meeting is active, TranscribeX tells you so. You can also use Recording App for any app. See app recording.
Meeting detection FAQ
Does TranscribeX add a bot to my meetings?
No. It records the meeting app’s audio on your Mac. Nobody else sees anything join the call.
Does it work with Google Meet?
Yes, through Chrome or Safari. Turn on the browser in Settings › Detection.
How do I stop the popup appearing?
Turn off the app in Settings › Detection, or turn off Detect When a Meeting Starts entirely.
