Export one transcript
- Open the transcript and click the Export button in the toolbar. Or right-click the transcript in the library and choose Export Transcript.
- In the Transcript Export window, pick a Format. The preview on the left updates as you change options.
- Set the options and language (below).
- Click Export and choose where to save the file, or click Copy to copy the result to the clipboard. Copy isn’t available for PDF.
TranscribeX remembers the options you used for next time. After you export, a link to the exported file appears at the top of Overview › Settings. Click it to show the file in Finder.
Text or Segments
For Text and PDF, choose a layout:
- Text: the whole transcript as continuous text.
- Segments: one block per segment or paragraph, with speakers and timestamps if you turn them on.
Options
- Show Timestamps: add start and end times.
- Show Milliseconds: include milliseconds in the times.
- Show Speakers: add speaker names. Run speaker diarization first to get named speakers.
- Group by Speakers: merge consecutive segments from the same speaker into paragraphs.
- Show Favorites Only: export only the paragraphs you starred. See editing transcripts.
For SRT and VTT, timestamps and milliseconds are always included and speakers are left out, so those options are locked. Subtitles always export one cue per segment. To control line length, reflow the transcript before exporting.
Languages
If you translated the transcript, choose what to include:
- Original Language: the transcript only.
- Translated Language: the translation only.
- Both Languages: the original and the translation together.
Export many transcripts at once
- In the library, right-click a transcript and choose Select. Checkboxes appear next to each transcript.
- Check the transcripts you want, or use Select all.
- Click Export N selected.
- In the Batch Export window, pick the format, options and language, then click Export All.
- Choose a folder. TranscribeX saves one file per transcript.
Transcripts that aren’t finished are marked SKIP and are left out.
Add the date to file names
Turn on Settings › General › Timestamp in File Name to start exported file names with the transcript’s date, for example 2026-10-18 - Weekly sync.txt. It applies to the Export button and to batch exports. Automatic exports use their own setting.
Export automatically after meetings
TranscribeX can export the transcript and AI summary for you when a meeting recording finishes transcribing (Pro). It can also keep those files updated when you edit the transcript later. Set it up in Settings › Automation. See meeting automation.
Files you export by hand with the Export button aren’t updated automatically. Export again after you make changes.
Export FAQ
Can I export SRT subtitles for free?

How do I export a Word document?
TranscribeX doesn’t export .docx directly. Export as Text or Markdown and open the file in Word or Pages.
Why are some transcripts marked SKIP in batch export?
Only finished transcripts can be exported. Wait for transcription to complete, or start the failed ones again.
