TranscribeX has two ways to ask an AI about what was said. Per-job chat works on one transcript. The Chat page searches across all your transcripts. Both are Pro features, and both use one of your AI services.
Chat with one transcript
- Open a job and choose the Chat tab in the right panel.
- Check the AI service shown in the bottom left of the chat box (it starts on your default service). Click it to pick another.
- Type a question in Ask anything... and press Return, or click a starred quick prompt above the field.
The whole transcript is sent with your question. Other controls in the chat box:
- Speaker menu (All Speakers): appears when the job has speakers. Pick one person to send only their lines, for example to ask “What did Anna commit to?”.
- Prompt menu: all your enabled prompts, with search. See AI prompts.
- Refresh: clears the conversation and starts over.
- Stop: the send button turns into stop while an answer is coming.
The same chat is available in the AI Chat side panel during live transcription, so you can ask “What did I miss?” in the middle of a meeting.
Note: With Apple Intelligence, only the first 8,000 characters of the transcript are sent. For long recordings, use the Local LLM or a provider.
Chat across all transcripts
The Chat page in the sidebar answers questions like “What did we decide about pricing last week?” or “Summarise every conversation with Anna.” using your whole library.
Turn it on
- Click Chat in the sidebar.
- Choose what to include, then click Enable Chat. Or turn on Settings › Chat › Enable Chat.
- TranscribeX indexes your transcripts. Progress shows in the page title and in Settings › Chat.
- If no AI service can answer yet, the page offers to download a Local LLM model or add a service.
Ask a question
Type in Ask across your transcripts… and send. Use the tag menu (All Transcripts) to search only transcripts with one tag, and the service menu to pick which AI writes the answer. Answers end with Sources. Click a source to open that transcript.
Chat settings
All in Settings › Chat:
- Include Archived Transcripts (on): “Also index transcripts that have been moved to Archived.”
- Only Index Recordings (on): “Index microphone and app recordings only. Turn off to also include imported files and YouTube downloads. Dictation is never indexed.”
- Who You Are: “Pick the saved speaker that is you. The AI then knows which lines in your transcripts you said, so questions like ‘what did I promise?’ refer to you.” You need a voice profile or manual speaker first.
- Reindex Transcripts: deletes the index and builds it again. Use it if answers miss recent edits.
- Clear Index: deletes the on-device index to free disk space. Your transcripts aren’t affected, and they’re indexed again the next time they’re needed.
Privacy
In the app’s words: “Transcripts are indexed on this Mac; only the passages relevant to each question are sent to the AI service you choose.” With the Local LLM or Apple Intelligence, nothing leaves your Mac. Per-job chat sends the whole transcript (or the chosen speaker’s lines) to the selected service.
