People usually start looking for an Otter.ai alternative for one of three reasons: the free plan’s minute cap runs out, the subscription adds up, or they would rather not have meeting audio uploaded to a company’s servers. TranscribeX answers all three in a specific way: it runs the speech recognition on your Mac, its free version has no minute limit, and Pro is a one-time $39. It is also a single-user Mac app, which matters if you rely on Otter’s team features. This page covers both sides.
The short version
- Where the audio goes. Otter transcribes in the cloud and keeps your conversations in your Otter account. TranscribeX transcribes on your Mac and stores everything as local files.
- Free plans. Otter Basic gives 300 transcription minutes a month, 30 minutes per conversation and 3 file imports in total. TranscribeX’s free version transcribes files and microphone recordings without limits, with smaller models.
- Price. Otter Pro is $8.33 a month billed yearly (about $100 a year). TranscribeX Pro is $39 once.
- Otter is stronger for teams: shared workspaces, web and mobile access, a bot that can attend calls without you, SSO and an API.

Otter.ai review: what it does well
Otter is good at what it was built for. The Notetaker bot can join a Zoom, Teams or Google Meet call on your behalf, even when you can’t attend. Every transcript is available on the web and on your phone. Teams can share conversations in a common workspace, and larger plans add SSO, admin controls and an API. Otter’s desktop app can also record without a bot in Slack huddles, Zoom, Google Meet and in-person conversations.
The trade-offs are the usual ones for a cloud service. Recordings are processed and stored on Otter’s side. Usage is metered: Pro includes 1,200 minutes a month with a 90-minute limit per conversation, and only Business removes the meeting-minute cap. And the bill never stops while you use it.
Free Otter alternative: comparing the free plans honestly
A lot of people searching for a free AI note taker end up on Otter’s Basic plan. It is a real free plan with limits that are easy to hit if you have several calls a week:
- 300 transcription minutes a month, at most 30 minutes per conversation
- 3 audio or video file imports, ever
- only your 25 most recent conversations stay accessible
- 20 AI chat questions a month
TranscribeX’s free version works differently. It transcribes as many files and microphone recordings as you like, of any length, with Whisper Tiny and Apple’s on-device model in 100+ languages. You keep every transcript because it is a file on your Mac. Dictation in any app and downloads from YouTube are included. There is no account and no trial clock.
To be clear about what’s not free: automatic meeting recording, speaker names, AI summaries and the larger models are part of Pro. So if “free AI meeting notes” is the goal, Otter’s free plan gives you automatic summaries and TranscribeX’s free version does not. What TranscribeX free gives you is unlimited, private transcription of anything you can record or import.
Free Zoom transcription with the free version
One practical route: record the call with Zoom’s own local recording, which free Zoom accounts can use on the desktop app (by default the host starts it or grants permission), then drop the file into TranscribeX. The transcript has no length cap and the audio never leaves your Mac. With Pro, TranscribeX records the call itself, without a bot and without needing host permission. More on transcribing Zoom calls.
“TranscribeX has been great! I am on 20+ calls weekly and this tool has become invaluable for call transcripts, and without any subscription or sending my data off to the cloud! I've emailed support on a few occasions and Ethan has been extremely responsive, top notch support!”
What Pro adds for meetings
With Pro, TranscribeX notices a call starting in Zoom, Microsoft Teams, Google Meet, Slack, Discord, Webex or a browser, matches it to the event in your calendar and records it on your Mac. After the call it transcribes locally, names speakers with Voice Profiles, writes a summary with key points, decisions and action items, then exports and emails the recap if you want it to. The summary can come from a small language model that runs inside the app, so it needs no API key and costs nothing per meeting. Each step can be switched off. Otter.ai price vs a one-time purchase
Otter Pro costs $8.33 a month on a yearly plan, or $16.99 if you pay month to month. That is about $100 a year, or roughly $200 a year on monthly billing. TranscribeX Pro is $39 once and includes free updates.
| Plan | Billing | 1 year | 3 years |
|---|---|---|---|
| TranscribeX Pro | One-time, free updates | $39 | $39 |
| Otter Pro | $8.33/month billed annually ($16.99 monthly) | $99.96 | $299.88 |
Cheapest paid individual plan at list price (USD unless marked). Prices checked October 2026 on each vendor’s pricing page (Otter.ai). TranscribeX Pro is a one-time purchase with free updates; the free version has no time limit.

Otter.ai alternative: FAQ
Is there a free Otter.ai alternative?
Yes. TranscribeX’s free version transcribes files and microphone recordings on your Mac with no minute limit and no account. Automatic meeting recording and AI summaries need TranscribeX Pro ($39 once). Otter’s own free plan includes AI notes but caps you at 300 minutes a month and 30 minutes per conversation.
How much does Otter.ai cost?
Otter Pro is $8.33 a month billed yearly or $16.99 billed monthly, and Business is $19.99 a month billed yearly (checked October 2026). The free Basic plan has monthly minute limits.

We found no offline or on-device transcription option on Otter’s official pages; transcription happens in its cloud. TranscribeX transcribes, identifies speakers and can summarize offline on your Mac.
