TranscribeX can look up the macOS Calendar event a recording belongs to, rename the recording after it, and save the attendees and start and end time. Any calendar account added to the Calendar app works, such as iCloud, Google or Exchange.
Turn it on
- Open Settings › Recording.
- Turn on Attach Calendar Events to Meeting Recordings. It’s off by default.
- macOS asks for access to your calendars. Allow full access.
If access is missing, the pane shows Calendar Permission Required with an Allow Access button, or Open Settings if you declined before. In that case turn on TranscribeX under Calendars in System Settings › Privacy & Security. See permissions.
Choose which calendars to use
Once access is granted, Calendars for Title Matching lists your calendars. Leave All Calendars ticked, or tick only the ones with your meetings. Excluding holiday, birthday or shared family calendars avoids wrong matches.
How matching works
Matching runs after a recording finishes transcribing. It applies to microphone recordings and app or meeting recordings, not to imported files.
- TranscribeX takes the middle of the recording (its start time plus half its length) and looks for events in your chosen calendars that are running at that moment.
- Matching is by time only. The event title doesn’t need to look like anything in the recording.
- If several events overlap, timed events win over all-day events, then the one that started earliest.
- If nothing matches, the recording keeps its name.
What is saved
- Title. The recording is renamed to the event title with a
[Calendar]prefix, for example[Calendar] Weekly product sync. This replaces any AI-generated title. The recording file in your save folder is renamed to match. - Attendees, start and end. Text, Markdown and PDF exports, the AI summary export and summary emails start with an
Invited:line listing attendees (meeting-room resources are left out) andStart:andEnd:lines with the event times.
If you use auto export, the calendar title is applied first, so exported files get the event name too.
Attach or change an event by hand
Use this when the wrong event matched, the meeting ran over, or you turned the setting on after recording.
- In the library, right-click the recording and choose Rename and Attach to Calendar Event.
- The sheet lists all events on the day of the recording, grouped by calendar. Select one.
- Click Rename.
The sheet helps you avoid duplicates:
- A Recorded badge marks events that already have a finished or exported recording. Hover over it to see which.
- Show recording and Show export reveal existing files in Finder.
- If attaching would replace an exported file, you see Exported file will be overwritten and the button becomes Rename and Overwrite. A recording with this name already exists warns about a media file with the same name.
To undo, right-click the recording and choose Detach from Calendar Event. The [Calendar] prefix and the saved event details are removed.
The menu items only appear when the setting is on, calendar access is granted, and the job is a recording.
Calendar events FAQ
Does TranscribeX email the meeting attendees?
No. Attendees are only written into exports. Summary emails go only to the recipients you list in Settings, never to calendar participants.
Does it work with Google Calendar or Outlook?
Yes, if the account is added to the macOS Calendar app. TranscribeX reads events through macOS, not from the web.
Why wasn’t my recording renamed?
No event in the selected calendars was running at the middle of the recording, or the recording hasn’t finished transcribing yet. Use Rename and Attach to Calendar Event to pick the event yourself.
