Fathom is easy to recommend. Its free plan records and transcribes without a stated limit, writes summaries right after the call, and its paid plans add CRM sync and coaching tools that sales teams like. So why look for a Fathom alternative? Most people who ask us have one of two reasons: they don’t want client or internal meetings processed and stored in someone else’s cloud, or they don’t want a bot in the call. TranscribeX is built for the first, and it doesn’t use a bot at all.
The short version
- Is Fathom free? Yes, for most individual use: unlimited recordings and transcriptions, with some AI features marked “limited use”.
- Where it runs. Fathom processes and stores meetings in its cloud. TranscribeX records, transcribes and summarizes on your Mac.
- Bots. Fathom uses a meeting bot by default and offers bot-free capture as a Mac beta. TranscribeX never sends a bot.
- Price for more. Fathom Premium is $16 a month billed yearly. TranscribeX Pro is $39 once.
- Fathom is stronger for sales teams: CRM field sync, deal views, coaching scorecards, shared clips and team-wide search.

Fathom details from fathom.ai/pricing and fathom.ai/whats-new, checked October 2026. Fathom does not publish numeric caps for its “limited use” free features. We found no local or offline processing option on its official pages. Corrections welcome at support@transcribex.io.
Is Fathom free?
Largely, yes. Fathom’s free plan lists unlimited recordings, transcriptions and storage, plus AI summaries right after each call. A few things are capped without a published number: advanced summary templates, Ask Fathom (its AI chat), and Zapier and Make automations are marked “limited use”, and CRM sync works for up to three users per domain. Premium removes those limits for $16 a month on a yearly plan or $20 month to month.
We’ll be direct about the free comparison. If you want free AI meeting summaries and you’re fine with the cloud, Fathom’s free plan gives you more than TranscribeX’s free version. TranscribeX free transcribes files and microphone recordings on your Mac without limits and includes dictation, but automatic meeting recording, speaker names and AI summaries are part of Pro. The case for TranscribeX is about where the data goes and owning the software, not about being the cheapest way to get meeting notes.
Why choose a local Fathom alternative
A cloud note taker means every recording, transcript and summary sits on a vendor’s servers, tied to an account. For a lot of meetings that’s fine. For calls with clients, candidates, patients or anything under an NDA, many people prefer the audio never leaves their computer.
TranscribeX Pro handles the whole meeting on the Mac:
- Detects the call in Zoom, Microsoft Teams, Google Meet, Slack, Discord, Webex or a browser.
- Matches it to your calendar event and records audio, plus video if you want the slides.
- Transcribes locally with the model you chose, then names speakers with Voice Profiles, with no limit on how many.
- Summarizes key points, decisions and action items with a model that runs inside the app, or with ChatGPT, Gemini or Ollama if you prefer.
- Exports and emails the recap automatically, or waits for you to review it.
Because nothing joins the meeting, platform bot controls (like the bot lobby Microsoft Teams now applies by default) don’t get in the way. The flip side is that participants aren’t notified automatically. More on transcribing Teams meetings.
“TranscribeX has been great! I am on 20+ calls weekly and this tool has become invaluable for call transcripts, and without any subscription or sending my data off to the cloud! I've emailed support on a few occasions and Ethan has been extremely responsive, top notch support!”
What Fathom Premium costs vs a one-time license
If the free plan’s limits push you to Premium, that’s $192 a year on yearly billing or $240 a year paying monthly. TranscribeX Pro is $39 once with free updates.
| Plan | Billing | 1 year | 3 years |
|---|---|---|---|
| TranscribeX Pro | One-time, free updates | $39 | $39 |
| Fathom Premium | $16/month billed annually ($20 monthly) | $192 | $576 |
Cheapest paid individual plan at list price (USD unless marked). Prices checked October 2026 on each vendor’s pricing page (Fathom). TranscribeX Pro is a one-time purchase with free updates; the free version has no time limit.
Where Fathom is the better choice
- Sales workflows. Fathom syncs fields to HubSpot and Salesforce, shows deal views and scores calls for coaching. TranscribeX has none of this.
- Team libraries. Shared playlists, clips and search across the team’s calls. TranscribeX is a personal app.
- Notes from calls you skip. A bot can attend without you. TranscribeX records what happens on your Mac.
- API and AI integrations. Fathom has a public API, an MCP server and Claude and ChatGPT integrations. TranscribeX has a local CLI and MCP server.
- A free plan with summaries. As covered above, Fathom free includes AI summaries; TranscribeX free does not.
Choose TranscribeX if…
- Your meetings shouldn’t be uploaded to a vendor’s cloud
- You want the recording itself as a file you own
- You don’t want a bot in your calls
- You also transcribe files, lectures or interviews in 100+ languages
- You’d rather pay once than renew every year
Choose Fathom if…
- You want free AI meeting summaries and the cloud is fine
- You work in sales and live in HubSpot or Salesforce
- Your team shares clips and searches calls together
- You want an API or ChatGPT and Claude integrations
